Prepare documents
for the right reviewer.
Extract useful information from incoming documents, check required fields, and send cases to the right reviewer. Keep the original source beside the prepared result.

Start with the receiving task
Choose a document pack that arrives regularly and name its owner. Agree the fields and records needed for a complete case. Include poor scans, missing pages, conflicting information, and cases that must return for review in the test sample.
Keep evidence attached to the output
Organize documents, extract agreed fields, and link each result to the supporting page or record. Flag unclear values and missing fields for review. Show the reviewer the proposed result and its source together.
Connect the next action
Agree whether a completed review creates a record, enters a staff queue, or prepares a briefing. Define integrations, duplicate handling, and approval for each action. Send cases outside the agreed scope to the responsible person.
Judge the first release on useful work
Measure field accuracy, complete packs, missed problems, and preparation and review time. Test examples selected by your team. Agree hosting, provider access, languages, and sensitive information handling in the brief.
What a first project can produce.
Agree what we will build, how it will be checked, and what your team receives. We confirm timing, access, and commercial terms together.

How the work moves
A staff member receives PDFs and images. The workflow groups files by case, identifies document types, and extracts agreed fields. A review screen places each proposed value beside its supporting page. Missing pages, conflicting identifiers, and unreadable text remain visible as unresolved items.
What the system needs to handle
The first release can export a reviewed record or send it to an approved case system. We agree mandatory fields, duplicate rules, and who confirms the record. Acceptance checks include downstream correction effort as well as extraction accuracy. Sending uncertain values onward can create more work than it saves.
What affects the first release
Document variety, scan quality, handwriting, tables, languages, and volume influence the design. Anonymized samples help establish feasibility before sensitive records are connected. A useful pilot compares accurate fields, missed problems, complete cases, and total preparation plus review time with the existing process.
